Responsible Procurement Database

Procurement is one of the key elements in every hospitality business. However, procurement is also where a lot of negative social or environmental impact is happening. If we want to tackle these issues and remove the malice from the supply chains, we need to bring about more transparency.

This is not an easy task but we are determined to help the hospitality industry, and others, to procure better and more responsibly. The idea of the Responsible Procurement Database started at one of our Think Tanks about waste back in 2020. With the rising take-away due to COVID19 and lack of knowledge about alternative plastics, we decided to start mapping different materials available on the market and asses the end-of-life as well as the Life-Cycle-Analysis of these products to help our stakeholders and everyone in the hospitality ``and F&B sectors to procure better.

We published a report on bioplastics and started putting together and understanding the carbon footprint of these takeaway products. Over the time we realised that this project requires broad collaboration and we have established an alliance with several hotel groups and partners in this project to combine our collective knowledge and design a tool to help with governance on alternative plastics, and eventually build a robust procurement database and system to help reach the sustainability goals of hospitality businesses.

Why Procurement Database

Create & Share Knowledge

  • Educate and provide access to scientific knowledge about alternatives to plastic that can aid in the decision-making for the companies in the hospitality business while reducing pressures on the environment.

  • Clear confusions and provide further guidance on disposal methods of different materials in the Hong Kong context and in the future in other geographies.

Collaborate for Systems Change

  • Social problems cannot be solved by individual organizations, no matter how large they are. Data is critical to driving systems change and it is essential that organizations collaborate to aggregate, share, and analyze data.

Offer a Solution that Accelerates Sustainability

  • Allow smaller and medium-sized companies such as F&Bs to access knowledge that is exclusive to big companies due to budget limitations while providing visibility to the leaders in sustainability

Problems we solve

Governance

  • Accessing the knowledge in our database will help those looking for reliable sources of information design their own procurement practices. We will also share some good practices in creating decision making trees as part of the project.

Transparency

  • Since we research every company on the list and behind every product, this adds a transparency element to the procurement process. We are aware that there are companies that won’t disclose their data; hence their assessment might be left blank on our list and will be up to the individual businesses to either find out or not to procure from such companies where there is a lack of transparency.

  • There is an option for the verified members of our community to provide feedback on different products and services for greater transparency and also to share data and help suppliers understand needs of the market in an aggregated form.

Decision-making

  • Database with a lot of data will help hospitality businesses to access wealth of research and make better and more informed decisions.

Reporting

  • Data from the database on carbon footprint and other elements of procured products will help the companies with their reporting exercises on ESG, SDGs and other frameworks.

Lack of Resources

  • Since sustainability departments are usually small and in many hospitality businesses non-existent (e.g. small or medium-size F&Bs), we are saving time and money to those who are keen to implement sustainability but lack resources to do so.
